Registration for the conference including its technical sessions is limited to 350 delegates due to space restrictions in the Lecture Hall(s) at the conference hotel: Chateau Nova Hotel. Registration for the conference is on a first come, first served basis.
The 12 IKC conference full delegate registration fee includes:

- Access to Preferential Hotel Rates: Reduced room rates for 12 IKC selected hotels in Yellowknife include the two conference venues. The 12 IKC Organising Committee strongly recommends that you secure your accommodation as soon as possible because there are a limited number of hotel rooms! Booking at 12 IKC hotels is now open and all hotels require no deposits and have reasonable cancellation policies.

- Conference Proceedings Volume(s): In keeping with a long-standing tradition of kimberlite conferences, 12 IKC is intending to provide one free hard copy of the Proceedings Volumes to every fully registered conference delegate (subject to sufficient 12 IKC post-conference funds).
- Opportunity to register for Diverse 12 IKC Field Trips: Access to registration is on a first come, first served basis.
- The full delegate fee increases on 10 June 2024. Late registration rates are $1,495 CAD for full delegate conference registration. Late registration fees are non-refundable.
- Delegate and accompanying person conference registration ends on 24 June 2024.
- Conference delegates and accompanying persons must be over 19 years old.
- In order to be able to attend any part of the conference, delegates and accompanying persons must sign and submit to the Conference Secretariat the 12 IKC Liability Waiver and Consent Form by 24 June 2024 if not already submitted as part of field trip registration.
- Fully registered conference delegates may pick up their registration kits from 12:00 Sunday 07 June 2024 onwards at the 12 IKC Registration Desk in the conference oral session hotel venue: Chateau Nova.
- Refunds for conference registration due to delegate cancellation will be refunded less a 10% administration fee until 23 February 2024. All 10% conference delegate registration deposits are non-refundable. From 24 February to 21 April 2024 fully paid conference delegate registration fees will be refunded less a 50% administration fee. There will be no refunds after 21 April 2024. Late registration fees are non-refundable.

Accompanying Persons Registration
Accompanying Persons (AP) are welcome. Once registered as an Accompanying Person (AP) of a fully paid delegate, you can purchase tickets to the main evening social events after registration opens on 18 July 2023.
Once you are registered as an AP, you will be emailed detailed information on any additional components of the AP Programme as they become available, and you will be able to register in due course. It may also be possible for APs to register for certain Field Trips close to the time of the conference if places are available.

- Should an additional Social Event be added by the Organising Committee, all accompanying persons will be informed about that and will be offered a chance to register.
- Accompanying person registration ends on 24 June 2024.
- Any accompanying person wishing to attend all or part of the conference technical sessions needs to (i) register as a full delegate and pay the full registration fee and (ii) complete the 12 IKC Liability Waiver and Consent Form PDF form by 24 June 2024. - Registration for field trips is on a first come, first served basis (limited to one place per field trip for each registered delegate or when applicable accompanying person). If a field trip is full at a time of registration, there will be an option to be added to a waiting list and you will be informed should spaces become available.
- Conference delegates will not be considered for field trip registration unless they have paid at least a 10% non-refundable deposit of the conference registration fee. Full payment of the conference registration fee is required by 24 February 2024.
- Registration by conference delegates for the field trips requires full payment of the appropriate field trip fee at the time of field trip registration.
- If any of the field trips are cancelled by 12 IKC prior to 24 February 2024 for reasons such as, but not limited to, insufficient participation, field trip payments will be refunded in full. However, delegates may be offered places on other field trips, which they can accept at their discretion, and transfer any previously paid field trip fees. Minimum capacity for each field trip is at the discretion of the field trip leader. FT01 and FT05 involve charter flights. In the unlikely event that any of the charter flights are cancelled due to weather, 12 IKC will refund as much of the fee as possible after the conference.
- Refunds for field trip registration fees due to delegate cancellation will be refunded less a 10% administration fee if cancellation occurs prior to 24 February 2024. Delegate cancellation between 24 February 2024 and 21 April 2024 will be refunded less a 50% administration fee. There will be no refunds for field trip registrations after 21 April 2024 for delegate cancellations.
- In order to be able to attend the field trips, delegates must sign and submit to the Conference Secretariat the 12 IKC Liability Waiver and Consent Form by 24 June 2024.
- All persons undertaking field trips do so at their own risk. Field trip participants should anticipate being required to complete waivers of liability or indemnity forms as required by properties being visited especially the operating diamond mines. Field Trips FT01 participants are also required to supply personal information such as full names, age, gender and passport numbers with expiry dates at the time of registration and a passport scan must be supplied by 21 April 2024. This process may involve a criminal record check in your country or origin potentially involving a fee. Passport scans will be collected through a secure registration link. Please note that there may be restrictions during field trips with regards to personal protective equipment, security, sampling, alcohol testing, photographic and other electronic equipment. Any diamond(s) found by field trip participants (pick-ups) remain the property of the host mine or project and should be handed to mine/project officials immediately. Field trip participants may have to undergo safety and security inductions prior to mine visits.
- Field trip participants while on company properties such as mines are subject to all company regulations, safety, security and other procedures and restrictions. They may reserve the right to restrict admittance. Failure to comply will result in the delegate being required to withdraw from the field trip at that point at their own cost.
- Field trip leaders have the right to require that a participant withdraws from the field trip immediately, at their cost, should that participant demonstrate inappropriate behaviour or jeopardise the safety and security of other field trip participants.
- Participants on a field trip must ensure that they have an adequate supply of any personal medications and money that they may require during the trip. In order not to interfere with field trip schedules, unplanned stops will not be possible.

Terms and conditions
Payments are to be made by credit card or electronic funds transfer (EFT) via the 12 IKC online registration which opens 18 July 2023 at 08:00 PT (or 16:00 GMT). For EFT payments, details will be provided in the registration confirmation email. Please ensure EFT payments are received by 12 IKC within two weeks of each registration or the respective registration deadlines, whichever comes first. In case of a problem with payment please contact the Conference Secretariat at [email protected]. All fees are in Canadian Dollars (CAD).
Full payment is required when registering for all items (eg. field trips and/or accompanying persons tickets to social events) except conference registration. Delegates have the option to pay conference registration in two parts. A 10% non-refundable deposit is required to secure conference registration and allows delegates to register for field trips, apply for financial support and submit short abstracts. Full payment of conference registration is required by 24 February 2024. If full payment is not received by 24 February 2024, the conference registration will be cancelled, including any field trips, oral / poster presentation(s), associated accompanying persons tickets to social events, and any other items, in accordance with the refund policy. All requests for cancellations of full delegate registration, accompanying person tickets to social events, and other programmes/events, and/or field trip registration must be received in writing by e-mail sent to the Conference Secretariat at [email protected]. Cancellations will not be accepted by telephone. All cancellations are subject to the limitations specified above and elsewhere on this website.
Delegate standard conference registration fees, if paid in full, will be refunded less a 10% administration fee until 24 February 2024. All 10% deposits are non-refundable. From 24 February to 21 April 2024 fully paid registration fees will be refunded less a 50% administration fee. There will be no refunds after 21 April 2024. Late registration fees are non-refundable.
Accompanying Persons tickets to social events will be refunded less a 10% administration fee until 21 April 2024. All 10% deposits are non-refundable. There will be no refunds after 21 April 2024.
Refunds for field trip registration fees resulting from cancellation by a delegate are less a 10% administration fee before 24 February 2024. Between 24 February and 21 April 2024 refunds will be 50% of the field trip registration fee(s). There will be no refunds after 21 April 2024.
Field trip participants, full conference delegates and accompanying persons must be over 19 years old.
There will be no onsite registration for conference delegates, accompanying person programme and field trips. Registration fees for the conference for full delegate (standard and late), and all field trip fees are not transferable. Please see Cancellation and Refunds for further details.
It is expressly agreed that the members of the Organising Committee and the Conference Secretariat for the 12th International Kimberlite Conference (12 IKC), their legal representatives, directors and employees, and their agents, officers and services, shall not be liable for any loss, injury or damage of any kind whatsoever suffered directly or indirectly by the person, possession or property of a conference participant or other person during or in connection with the events on the programme or any other activities of 12 IKC (inclusive of field trips) for any reason whatsoever no matter howsoever caused.
It is agreed that the 12 IKC Organising Committee and the 12 IKC Conference Secretariat, and their agents and officers, reserve the right to cancel at any time any, or all, of the programmes or other activities if this should appear necessary as a result of events which are beyond their control or which they cannot reasonably be expected to influence or for which they are not responsible. Without limiting the generality of the foregoing, such events shall include force majeure, government or other official regulations, natural disasters, strikes of any kind whatsoever, civil, international or other crises, or any other unforeseen occurrence. Decisions regarding the necessity for such cancellation shall be taken by the Organising Committee, or their agents, at their sole discretion and shall be final.
The 12 IKC Organising Committee reserves the right to change any aspect of the conference and field trips as they see fit (the 12 IKC website will be updated accordingly when possible).
The 12 IKC Organising Committee reserves the right to refuse admission to the conference venues or participation in any other 12 IKC activities and field trips to any delegate who is considered to be a security risk and/or a disruptive influence on the orderly conduct of all aspects of the 12 IKC. Please refer to Code of Conduct page for further details.
It is the sole responsibility of each registrant to obtain all necessary travel documentation required to participate in the conference as well as any of the field trips they are registered for. The 12 IKC is not responsible for any costs or inconvenience incurred should the delegate not be permitted entry to, or depart from Canada or any of the provinces or properties visited as part of the conference field trips.

12 IKC registration fees do not include insurance for participants against personal injuries, sickness, theft or damage. This applies to any event associated with the conference including social events and field trips. Participants are advised to obtain whatever insurance they consider necessary. Foreign visitors to Canada may not be covered by their existing personal medical insurance plan. It is strongly recommended that participants, before leaving home, obtain appropriate short-term health and accident insurance that includes field trip activities.
12 IKC registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the conference and book your travel, you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Conference, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Canada, failure to utilize tours or pre booked arrangements due to airline delay, force majeure or any other reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The 12 IKC does not take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.
Many non-Canadians will require visas to visit Canada and attend the conference. 12 IKC takes no responsibility with respect to providing information about, or assisting with, potential non-Canadian delegates from any country obtaining a visa to visit Canada for the conference. Delegates are advised that visa applications can be a lengthy process and should apply well in advance.
